    8. Working with one mailbox on multiple devices. Messages are duplicated when receiving, sending or synchronizing.
    9. Multiple POP3 mailboxes configured for using one PST data file.
    10. Using antivirus software with email checking function. Such antiviruses can create copies of messages during editing or after sending a message.

    What to do to prevent duplicates from appearing in Outlook

    Before removing duplicates, you need to find out the reasons that led to their appearance. After eliminating these causes, you can find and remove all duplicates in your Outlook.

    Here's a checklist:

    1. Review the settings for Outlook rules that copy incoming or outgoing messages to folders. Make sure that each such rule has the action "stop further processing of rules" enabled. Otherwise, the next rule will copy the message again.

But when re installing Outlook to another computer or transferring the mail base, the next receipt of mail from this POP3 mailbox will result in duplicates.

    4. If you import messages from EML, MSG, PST and other files multiple times, make sure that the duplicate check mode is enabled. Another way to avoid duplication is to move message files to another folder after they have been imported into Outlook folders.     5. Start Windows Task Manager and make sure the process outlook.exe launched once. If you find multiple processes with this name, close running Outlook.     2. Instead of removing duplicates, you can mark them with a category or checkbox.
